Financial Policy
This Financial Policy outlines the procedures for managing outstanding balances subsequent to the processing of insurance claims. Our aim is to ensure clarity and transparency in all financial transactions.
Statement Issuance and Payment Terms
Following the adjudication of your insurance claim, any remaining balance for which you are responsible will be promptly communicated to you. This will be done through a statement, which you may receive either electronically via our secure Square platform or as a physical document delivered by mail.
Payment in full is due within fourteen (14) calendar days from the "Statement Sent Date." This timeframe allows ample opportunity to review your statement and arrange for payment.
Automatic Payment and Declined Cards
To facilitate timely payments, we will automatically charge the credit card securely maintained on file if the balance remains unpaid after the due date.
It is your responsibility to ensure that the credit card information we have on file is current, valid, and has sufficient available credit. In the event that your credit card is expired or declined for any reason, it is imperative that you contact our billing department immediately. You will need to provide updated payment information and settle the outstanding balance without delay to avoid further collection actions.
Delinquency and Collections
Our billing cycle involves a structured process for managing overdue accounts:
Initial Statements: You will receive three (3) consecutive statements, each issued approximately every thirty (30) days, detailing your outstanding balance.
Final Notice - Past Due: If the balance remains unpaid after the issuance of these three statements, a fourth statement will be sent. This will be clearly designated as a "Final Notice - Past Due," serving as a definitive warning that your account is severely delinquent.
Failure to remit payment after the "Final Notice - Past Due" will result in your account being forwarded to a third-party collection agency. At this stage, all further proceedings regarding the outstanding balance will be handled directly by the collection agency, which may impact your credit standing.
Self-pay procedures are due at the time of the service.
